We continue to build out eQuipt for Financial Planning with significant influence from you, the users. As a result of that feedback, this release’s upgrades are meant to help you simplify the process of maintaining Invoices, Agreements, and Client Records with Terminated Rep Codes.
It is important to note that this release accomplishes three things when a Rep Code is Terminated:
1. Allows you to see terminations at the Client or Agreement-Level
2. Limits Client records’ and their associated Agreements’ functionality
3. Allows you to reassign a Rep Code at the Client or Agreement level
The first thing you will notice is a slight change to the client list that indicates which Client records are associated with a Terminated Rep Code, and shows those statuses as “Terminated.” Also, if the Rep Code was Terminated at the Client Level, that code must be reassigned before you can create a new engagement.
As you can see below, we also show Terminated Rep Codes in the Invoice List.
When accessing a Draft Agreement where both the Client and Agreement-Level Rep Codes are terminated, you will see a banner message and an empty field for the “Assign Advisor” section.
PLEASE NOTE that changing the Rep Code at the Agreement level will only update the Agreement. It will not update the Client-Level Rep Code.
The “Send eSign and Invoice” button will be disabled until an Active Rep Code is assigned at the Client Level.
Signed Agreements also have reduced functionality when the Client-Level Rep Code is Terminated. Once a new Rep Code is Assigned, this functionality is restored.
To be able to “Copy as New,” you must update the Rep Code at the Client-Level.
To prevent invoices from being generated, sent again, or paid manually Invoices also have reduced functionality when the Client or Agreement-level Rep Code is Terminated. Updating the Rep Code at the Client and/or Agreement-Level restores full functionality.
When accessing a “Past-Due” Invoice, you will not be able to choose “Pay Manually,” or “Resend Invoice.”
Also, you will not be able to “Send Invoice” or “Waive Fee” for Draft Invoices. When an Active Rep Code is assigned at the Client and/or Agreement-Level, this functionality is restored.
Canceled Invoices will have the “Resend Invoice” button disabled if they have a Terminated Rep Code at the Client and or Agreement-Level.
The example below shows how the listed changes are displayed when working within the tool:
1. You will see a warning banner message when there is a Terminated Rep Code at the Client-Level
2. When the Rep Code is Terminated it will be marked “Terminated”
3. You’ll notice the ability to create a New Engagement is disabled until an active Rep Code is assigned
To reassign a Client Profile Rep Code on the “Information” page, click on the “Edit” icon to navigate to the “Edit Information” page. From there, you can change the Rep Code associated with the Financial Planning Client Record.
Once you’ve successfully reassigned the Rep Code, the “Client Profile Information” page will have full functionality and the banner message will no longer display. PLEASE NOTE This will not update any existing agreements that have a Terminated Rep Code.
